AI-generated content does not constitute professional safety, engineering, or legal advice. ServiceSmartOS accepts no liability for any reliance placed on unreviewed AI-generated content.
1. Nature of AI Assistance
ServiceSmartOS uses artificial intelligence to assist users across the platform — including drafting safety documentation, generating risk assessments, summarising incidents, and supporting other operational and compliance workflows. AI assistance is provided as a productivity tool to help competent persons prepare initial draft content more efficiently. ServiceSmartOS may use one or more AI providers including Anthropic, OpenAI, Google, or other providers. The specific AI provider in use may change from time to time as part of our normal service operations.
AI generation works by processing the context you provide (work activity, hazard descriptions, project type, and similar inputs) and generating text that statistically resembles professionally prepared safety documentation. This process does not involve professional knowledge of your specific worksite, equipment, workforce, regulatory obligations, or operating conditions.
The output of an AI generation is not, and must not be treated as, a completed safety document. It is the starting point for a document that must be completed, reviewed, and validated by appropriately qualified and competent personnel.
2. Specific AI Features and Limitations
AI-Generated Safe Work Method Statements (SWMS)
- ⚠AI-generated SWMS content is produced based on the work activity and context you describe. It does not have knowledge of your actual worksite, plant, equipment, materials, workforce competencies, site-specific hazards, or local conditions.
- ⚠Risk scores, likelihood ratings, and consequence ratings generated by AI are indicative only. A competent person must independently assess and verify the risk rating for each hazard based on actual site conditions.
- ⚠Control measures suggested by AI must be assessed for practicability and suitability at your specific worksite. Not all suggested controls will be applicable to every situation.
- ⚠AI-generated SWMS content does not ensure compliance with the Health and Safety at Work Act 2015 (NZ), Work Health and Safety Act 2011 (Cth), or any associated regulations. Compliance responsibility remains with the PCBU.
- ⚠A SWMS must be prepared or reviewed by a person competent to identify and assess hazards relevant to the specific work activity. AI assistance does not satisfy this requirement in itself.
AI-Generated Activity Risk Control Plans (ARCP)

- ⚠AI-generated incident summaries and investigation frameworks are drafting aids only. Incident investigations must be conducted in accordance with your legal obligations and by appropriately trained personnel.
- ⚠AI-generated corrective actions are generic suggestions. Effectiveness of corrective actions must be assessed by a competent person with knowledge of the root cause and your organisational context.
- ⚠AI-generated content must not be used to determine or infer liability for workplace incidents. Legal liability assessments must be conducted by qualified legal professionals.

- ⚠Users remain responsible for verifying worker hours, attendance records, payroll information and workforce data before those records are used for payroll processing, invoicing, regulatory reporting or any other business purpose.
- ⚠AI-assisted timesheet or attendance summaries must not be treated as authoritative records. The underlying records entered into the platform by authorised users are the authoritative source.
- ⚠ServiceSmartOS does not process or verify payroll calculations. All payroll decisions remain the sole responsibility of the Customer.
3. User Responsibility
By using AI generation features, you acknowledge and agree that:
- You are solely responsible for reviewing and validating all AI-generated content before it is used, distributed, stored as a final document, or presented to workers, clients, regulators, or any third party.
- The competent person requirement under applicable health and safety legislation is not satisfied by AI generation alone. Human review and sign-off by a person with the requisite skills, knowledge, and experience is required.
- You will not use AI-generated content as the basis for decisions about worker safety, hazard controls, or regulatory compliance without independent assessment.
- You take full responsibility for the accuracy, completeness, and fitness for purpose of any document derived from AI-generated content after you have reviewed and approved it.
- ServiceSmartOS is not responsible for, and expressly disclaims liability for, any injury, loss, damage, regulatory action, or enforcement consequence arising from the use of AI-generated content that has not been appropriately reviewed and validated.
4. AI System Limitations
AI language models, including those used by ServiceSmartOS, have known limitations that users must be aware of:
- Hallucinations: AI models can generate plausible-sounding but factually incorrect information, including invented regulation references, incorrect risk ratings, or inapplicable control measures. All regulatory references must be independently verified.
- Training data cutoff: The AI model has a knowledge cutoff date. Recent changes to legislation, regulations, or industry codes of practice may not be reflected in AI-generated content.
- Context limitations: The AI generates content based only on the text you provide. It has no access to your worksite, documents, previous incidents, or organisational history unless you include that information in your prompt.
- Generalism: AI models are trained on broad datasets. They may not reflect the specific requirements, terminology, or practices of your particular industry sector, trade, or regulatory jurisdiction.
- Inconsistency: AI outputs may vary between generations. Do not assume that generating the same prompt twice will produce identical results.
- Service availability: AI features may be subject to usage limits, scheduled maintenance, provider availability, unplanned service interruptions, and fair-use restrictions. ServiceSmartOS does not guarantee continuous availability of AI-generated services. Critical safety documentation should not be prepared in a way that depends solely on AI generation being available at any given time.

Nothing in the AI-generated content produced by ServiceSmartOS constitutes professional safety engineering advice, legal advice, environmental consulting advice, or any other form of professional advice. We strongly recommend that you engage appropriately qualified professionals to review safety documentation for complex or high-risk work activities.
